This is for all aspects of the Lodge, but applies most heavily to House since they tend to have the most employees.

The Secretary serves as the administrative backbone of an Elks Lodge, maintaining essential records and handling correspondence. This position requires meticulous attention to detail and plays a crucial role in ensuring the Lodge's smooth operation and compliance with Grand Lodge requirements.

Key Responsibilities

According to Section 12.050 of the Grand Lodge Statutes, the Secretary:


  • Keeps accurate minutes of all meetings

  • Maintains accounts between the Lodge and its Members

  • Assigns a number to each Member and maintains current membership records

  • Receives all monies due the Lodge and pays them to the Treasurer

  • Informs applicants of their acceptance or rejection

  • Notifies all committee appointees

  • Prepares the Annual Report to the Grand Lodge

  • Reports all expulsions and suspensions to the Grand Secretary

  • Handles Lodge correspondence subject to Exalted Ruler approval

  • Gives bond of at least $5,000

  • Presents written reports of transactions in April and October

  • Attends all District Deputy Clinics unless excused

  • Collects all Lodge records and materials.


Leadership

The position of Secretary offers unique leadership development opportunities through mastery of administrative processes and communication skills. While not typically part of the progressive line of officers, the Secretary develops invaluable organizational abilities and often becomes one of the most knowledgeable members regarding Lodge operations and history, frequently serving as a trusted advisor to successive administrations.
